Working with Wanted in the Netherlands

Wanted is an international recruitment agency active in the Netherlands, Belgium, Germany, Portugal, and Slovenia. We specialize in placing professionals, primarily in the technical sector, across various industries such as oil and gas, construction, shipbuilding, and data centers.

If you’re hired for a project in the Netherlands, here are a few key details about our process to help you get started smoothly.

  • Starting

    Once we agree on your employment terms, you will send us your personal information (ID, IBAN, home address, BSN, certificates, etc.) so we can prepare your contract. The contract will be issued by Flexpedia, our contracted payrolling company, which will be doing your payrolling on our behalf.

  • Contract

    Before your starting date, you will receive an email from Flexpedia (noreply@notifications.flexpedia.nl) asking you to confirm your account with them. Please check your inbox regularly, including the SPAM folder.

    The email will look like this one below. You just need to click ‘Bevestig’ (confirm).

     

    Once you confirm your account, you will receive a second email (usually within one working day), from Flexpedia with your contract for you to sign digitally. Contract is signed under the Dutch law, meaning all your social, pension, tax and health contributions are calculated under the Dutch legislation.

    You will now have access to Flexpedia portal, through your e-mail and password, where you will find your contract, salary slips, and other documents related to your work.

    When you stop working with us, it is important that you download all your paperwork (salary slips, contract, etc.) and save it for later. You will need it as a proof of your working period in the Netherlands or for tax purposes.

  • How do I get to the Netherlands?

    We will book a flight for you. We take into consideration your availability and the fact that you have time to rest before the new week starts.

    You will receive the flight confirmation via email or WhatsApp, with the details about departure and arrival time, as well as information about the luggage included.

    It’s your responsibility to get from your home to the airport on time and at your expense.

    It´s also your responsability to do your online check-in. If you are facing problems, you can reach out to one of us for help. Please note, most airlines will charge an extra fee if your online check in wasn’t done in advance.

    When you reach your destination, one of our colleagues will pick you up from the airport and take you to your accommodation. If, for some reason, this is not possible, we will ask you to use public transportation instead. Send us a copy of the ticket so we can pay you back with your first salary.

    If you are driving to the Netherlands, we will pay you the kilometers in accordance with the Dutch law. Or the bus/train ticket – give us the receipt.

  • What do I need to bring with me?

    We ask you to bring your own safety shoes, if you don’t have them, please let us know in advance.

    We will provide you with tools and other PPEs, but you can always bring your own. Kindly inform us as soon as possible.

  • Where am I staying?

    We will arrange an accommodation for you in a single room, usually in a house with multiple rooms for other Wanted employees. This is a benefit, and the cost will be covered by Wanted.

  • House Rules

    Each landlord provides house rules, usually posted in the kitchen or hallway. Please respect these rules to avoid any issues. If you have questions, feel free to contact your Wanted representative!

    Whenever your project ends, please do the following:
    – Clean up your room.
    – Leave the bed sheets washed.
    – Arrange with Wanted office to deliver house keys, car keys and car, and other items you might have like tools.
    If you don’t follow these instructions, you will be charged a penalty fee.

    When you go on vacation, we might ask you to do the same, depending on duration and house availability. We would request you to contact your Wanted representative to agree on the details, before going.

  • How do I go to work every day?

    Transportation to work and back home is another benefit covered by Wanted.

    If you live in a house with other employees, you will have access to a shared company car and the driver will receive a fuel card. If it happens that you don’t have it yet or it doesn’t work, please send the receipt and we will pay you back with your next salary.

    The vehicle we provide is registered under one single person – the driver. They are responsible for the car. As such, fines and damages will be deducted from the drivers’ salaries. Dutch roads are highly surveilled, and fines are efficiently sent to the car owner. We advise you to follow the various traffic and road safety rules. You can check the WAZE app. It helps you get to where you’re going through real-time road alerts and an up-to-the-moment map. It instantly alerts you to traffic, construction, crashes, police and more.

    The fuel card has a limit set according to the distance. In case you’re the driver, ask for the limit once you receive the card.

    If you use your own car to go to work, you will receive a KM allowance, according to the Dutch legislation.

  • When is my salary paid?

    Your salary is paid weekly – every Thursday before the end of the day.

    On rare occasions it could happen on Fridays, for example, if we receive your timesheet late.

    If this happens, contact us on Friday morning so we can understand the reason, fix it quickly, and arrange your payment.

    Timesheets are often sent to Wanted directly by the worker. If this is your case, kindly submit your timesheet by Wednesday before 12:00 of the following week, at the latest. Send your timesheet to uren@teamwanted.nl. Other times, timesheets are submitted by the client, and you don’t have to do anything.

    Please note, when you start working with us, you will receive your first payment on Thursday of the following week. For this reason, we advise you to have money available for your initial days abroad, because advance payments are not possible.

  • Salary explained

    When you sign the contract, you agree to a NET rate per hour, based on a 40-hour week. When you work more or when you work less this net rate can change due to tax rates variations. When you work more, your GROSS salary increases, and you will pay higher income tax. So, when you work overtime, your NET rate per hour may actually decrease.

    For example: we have agreed on 17€ net for 40 hours.

    For 50 worked hours you will receive: 811,00€ NET or 16,22€ NET per hour.

    For 60 worked hours you will receive: 960€ NET or 16,07€ NET per hour.

    In case you’ve worked a lot of overtime during the year, you will pay a high amount of taxes. In this case, we advise you to get a TAX refund. You can contact us for more details on this.

  • Advance payments

    Due to company policy, we are unable to process advance payments. We value your contributions to the team and are committed to ensuring timely payment of all regular wages as per our standard schedule.

  • Holiday

    Before making any holiday arrangements, you must get your holiday approved by your Site Manager or Supervisor. Once approved, kindly inform your contact at Wanted.

    At this moment, you can ask us for the payment of your holiday hours. Check your pay slip to find how many vacation hours you currently have, if you have enough holiday hours, we will book these hours and you will get its payment on the following. Please note that the amount paid out is lower than the net amount that we agreed with you, mainly due to taxes.

    Due to Dutch law, holiday hours can only be considered when on holiday or a day off. If you still have vacation hours left at the end of your contract, these will be paid out no later than 6 weeks after your last working day.

    Let us know in advance if you need assistance with transportation to go to or return from the airport. We try to be helpful but can’t always guarantee we have someone available to give you a ride, in particular with early/late flights.

  • Holiday allowance

    Employees in the Netherlands are provided with a holiday allowance. You will receive your holiday allowance every week along with your salary. It is already included. You can see this under ‘Uitbetaald vakantiegeld’ in your pay slip.

  • Payment of travel expenses

    Wanted will pay for your first flight when starting the project and the last flight back home, after satisfactorily finishing the project.

    In case you decide to leave before the end of the project, for whatever reason, Wanted will not pay your travel costs back home.

    At the end of the project, if we make you an offer to join a new project and you decide not to accept it, Wanted does not pay for your travel costs.

    When you go on holiday, this will be at your expense. You can make your own travel arrangements as you please. (Tax regulations in the Netherlands do not allow the employer to pay for tickets in advance and deduct the cost later from the employee’s salary.)

  • How do I book a doctor’s appointment?

    If you’re feeling sick but don’t need emergency care (like for a fever or sore throat), you’ll need to book an appointment with a GP (General Practitioner) in your area.
    Here’s how:
    ⦁ Find a GP Near You: Go to ⦁ Zorg en Zekerheid’s GP Finder.
    ⦁ In the first field, type “Huisarts” (Dutch for General Practitioner).
    ⦁ In the next field, enter your ZIP code.
    ⦁ Choose a Clinic: You’ll see a list of local clinics. Pick the ones that are closest to you and start calling to ask if they can assign you a GP.
    ⦁ Secure Your GP in Advance: It’s best to get a GP assigned when you first arrive in the Netherlands. That way, when you do get sick, you can easily make an appointment with your assigned doctor.
    ⦁ Booking an Appointment: Once you have a GP assigned, simply call the clinic whenever you need an appointment.
    Following these steps early on will make it easier to access healthcare when you need it!

  • I’m feeling sick and can’t go to work. Who should I inform?

    When you are sick and need to stay at home, you must make 3 phone calls informing about your situation:
    ⦁ Your Site Manager, before your shift starts.
    ⦁ Your Account Manager from Wanted, before 10h00 in the morning.
    ⦁ And Flexpedia at +31 232052408, in English, before 10h00 in the morning.

    If you do it later, this day will not count as sick leave.
    In any case, the first day that you are sick is considered a waiting day and you will not get paid.

    When you are sick for more than 3-days in a row, you can get sick leave from the Dutch Employee Insurance Agency – UWV. They will contact you directly, so be sure to answer any unknown numbers and check your email. It’s up to you and UWV if they grant you sick benefits.
    When you need to see a doctor, you should book an appointment with a General Practitioner (it’s mandatory to make an appointment before going). If it’s critical, you can go directly to the hospital.

    However, if it’s not an emergency, you should call the doctor first and only go to the hospital if they advise you to. Otherwise, if you don’t have a doctor’s recommendation and it’s not an emergency, insurance will not cover your hospital expenses.

  • Do I have health insurance?

    As per Dutch legislation, from the moment you sign a contract with your employer, you need to be insured. Hence, Wanted will arrange you a basic health insurance.

    This will be deducted from your salary every week (35,52€/week), but will NOT affect the net rate agreed with us. In Holland we use a health provider called ZEM. Your digital insurance card is available at the Flexpedia portal, after login.

  • Payment of sick leave

    Your sick leave is paid after 6 weeks. Part of it is covered by Flexpedia, and part by UWV.

  • Pension

    You build up a pension at STIPP (www.stippensioen.nl).

    You start with STIPP basic. With the Basic scheme, the employer pays the full premium.

    The full premium amounts to 8% of the pension base.

    Because you do not pay anything for this yourself, this is not stated on your pay slip.

    After 52 weeks of work, you switch to STIPP Plus.

    The premium in the Plus scheme is 12% of the pension base.

    From this moment onwards, your employer still pays 8%, and the remaining 4% of your pension base is automatically deducted from your weekly gross salary.
